Site Activity Log
- Each physical site must create and complete a site activity log for each day of operation. This tracks what happened for each taxpayer coming to the site, whether that results in a completed return or simply the answering of a taxpayer’s question. Site activity logs are important because:
- Tracking paper returns and Q&A is needed for sites to properly report activity on the Portal, data that the AARP Foundations uses for IRS grants.
- Tracking returns through all stages helps make sure that everything needed is done
- In addition, the site ERO must know which returns are ready to be e-filed.
- Starting with tax season 2023, sites must use the site activity log in the Portal [Libraries > Tax-Aide: Service Delivery Models]. This is a spreadsheet; sites can modify parts of it to fit what that site does and doesn’t do.
End-of-Day Process
- As a counselor, you should have no taxpayer documents at the end of the day, included anything that was printed at the site with Personally Identifiable Information such as SSN, phone number, or address, or tax return information that can be obviously associated with a taxpayer.
- Document Inventory Checklists (DIC)(used at drop-off sites) are the one exception to this general rule; those are retained until the end of the year, as proof that all tax documents were returned to taxpayers.
Shutdown Procedures for AARP Foundation Chromebooks
- Log out of TaxSlayer by clicking the Log out link at the upper right of the screen, at the Main Menu.
Follow the proper procedures for shutting down your laptop – don’t just pull out the power cord and close the lid! Not fully shutting down could result in the battery running down to zero, and will always add extra start-up time the next time you use your computer.
- Shut down the computer: press and hold down the power button on the keyboard (upper right); then, on the pop-up menu, select “Power off”.
- Wait until the computer screen turns completely black and the power switch goes dark before pulling out the power plug and closing the laptop lid.
- When the power plug is pulled, ALL lights on the keyboard should go out. If they don’t, then the shutdown process was not done properly.
